Operations Co-Ordinator, UK

Storm Procurement are looking for an Operations Co-Ordinator to join one of the leading Procurement and Logistics companies in the Mining and Energy industries after seeing significant growth.

The Operations team gives a unique opportunity to be at the heart of the company, being a key part of what makes us a respected and trusted company in the sector. You will liaise between departments to fulfil orders from start to finish in accordance with contractual requirements, ironing out any issues that arise to ensure as smooth of a process as possible. In addition to internal teams, you will also be a point of contact for our wide customer base through several methods of communication, and drive negotiations with 3rd party service providers that assist us with completing a job well done.

Please note the successful candidate will be required to work full time in our office based in Watford alongside the rest of the Operations team, so please ensure you are able to reliably commute to the office. Office hours are 8:30am – 5:00pm

 

Your Main Duties will Include:

  • Ensuring suppliers have processed Storm purchase orders in a timely manner.
  • Expediting all orders to reduce lead times where possible and keeping delays to a minimum.
  • Obtaining documentation through our suppliers, 3rd party service providers, or self-found.
  • Keeping clients updated when required, especially on urgent or high value orders, and completing external reports received from clients.
  • Investigating and resolving discrepancies reported by the customer, supplier, or our own internal warehouse.
  • Raising purchase orders in line with company processes, and initiating the supply chain by placing the orders with suppliers.
  • Raising Delivery Notes, Invoices, and certification to customers upon completion of an order.
  • Co-ordinate customer collections with freight forwarders in line with customer expectations.
  • Liaise with, obtain quotes from, and book logistics services through 3rd party service providers to adhere to the requirements of orders.
  • Liaising with internal departments such as Accounts, Sales, and Warehouse to progress orders in a timely manner and resolve any issues they may face.
  • Tracking orders we are providing freight services on, to monitor and provide timely updates to our clients.
  • Quoting and arranging hazardous packing/crating with 3rd Party suppliers where necessary.
  • Escalating ongoing issues to senior management quickly to provide a solution as soon as possible.
  • Developing and improving relationships with both suppliers and customers.
  • Keeping on top of internal KPI reports for overall company performance monitoring

 

You will be Responsible for:

  • Managing the order fulfilment process from start to finish, ensuring all orders are processed in line with contractual requirements, and resolving any issues that arise to ensure a smooth and efficient operation.
  • Acting as a liaison between various internal departments to ensure timely and accurate order processing.
  • Communicating with customers via various channels to keep them updated on their orders, particularly for urgent or high-value items.
  • Negotiating and coordinating with 3rd party service providers for logistics, including booking freight services, obtaining quotes, and arranging hazardous packing or crating where necessary.
  • Monitoring and expediting orders to minimise lead times, proactively addressing delays or discrepancies in the supply chain.
  • Ensuring that all necessary documentation is collected from suppliers and service providers, including delivery notes, invoices, and certifications.
  • Investigating and resolving discrepancies reported by customers, suppliers, or the internal warehouse, and escalating unresolved issues to senior management promptly.
  • Managing and updating internal systems with accurate order status, ensuring all records are up to date and easily accessible.
  • Tracking orders, providing timely updates to customers, and coordinating customer collections with freight forwarders.
  • Developing and maintaining strong relationships with both suppliers and customers to enhance service delivery and overall satisfaction.
